This policy explains what information Guardix collects, why we collect it, how we use and protect it, and the choices you have. It applies to our website and the Guardix security-operations platform.
Information we collect
In short: Account details you give us, operational data you enter, and technical data we gather automatically.
We collect information in three ways. You provide some directly when you create an account or contact us. Your organization generates operational data as it runs day-to-day security work in the platform. And we collect some technical data automatically to keep the service secure and reliable.
- Account & contact data — name, work email, phone, role, and organization.
- Operational data — sites, shifts, schedules, patrol tours, incident and activity reports.
- Device & location data — when officers use the mobile app on shift, including GPS used for live tracking and geofencing.
- Technical data — IP address, device and browser type, and usage and diagnostic logs.
How we use information
In short: To run the platform, keep it secure, support you, and improve how it works.
We use the information above to provide and operate the service, deliver real-time operations features such as live tracking and dispatch, secure accounts and prevent abuse, provide customer support, comply with legal obligations, and improve the product. We do not use your operational data to build advertising profiles.
Legal bases for processing
In short: We rely on contract, legitimate interests, consent, or legal obligation depending on the data.
Where the GDPR or similar laws apply, we process personal data on one of these bases: to perform our contract with you, for our legitimate interests in operating and securing the service, to comply with a legal obligation, or with your consent (for example, certain cookies). You can withdraw consent at any time without affecting prior processing.
Data retention
In short: We keep data while your account is active, then delete or anonymize it on a defined schedule.
We retain personal data for as long as your account is active and as needed to provide the service. After an account closes, we delete or anonymize data on a defined schedule, except where we must keep records to meet legal, tax, accounting, or security obligations.
How we protect data
In short: Encryption in transit and at rest, strict access control, and continuous monitoring.
We maintain technical and organizational measures appropriate to the risk, including encryption in transit and at rest, role-based access control, least-privilege internal access, audit logging, and continuous monitoring. No system is perfectly secure, but we work to protect your data and to notify you promptly of incidents that affect you.
Your privacy rights
In short: Depending on where you live, you can access, correct, delete, or port your data — just ask us.
Subject to your region's laws (such as the GDPR and CCPA/CPRA), you may have the right to access, correct, delete, or export your personal data, to object to or restrict certain processing, and to opt out of sale or sharing (we do neither). To exercise any right, contact us — we will not discriminate against you for doing so. Note that for operational data, your organization is usually the controller and you may need to direct your request to them.
International transfers
In short: When data crosses borders we use approved safeguards such as Standard Contractual Clauses.
Guardix operates across regions, so personal data may be processed in countries other than your own. Where we transfer data internationally, we rely on appropriate safeguards required by law, such as the European Commission's Standard Contractual Clauses.
